PLEASE READ CAREFULLY AND UNDERSTAND THE FOLLOWING TERMS AND CONDITIONS BeFORE APPLYING FOR YOUR hajj guidance package or UMRAH PACKAGE

 

1. Company Information

Tarteel Travel LLC (“Tarteel Travel”, “TT”, “we”, “us”, or “our”) is a travel agency providing Hajj and Umrah related travel services.

Our services include assisting pilgrims with travel arrangements for Umrah and Hajj in Saudi Arabia including accommodation reservations, transportation coordination, guidance services and related travel services.


2. Acceptance of Terms

By browsing, registering, or booking any services through the Tarteel Travel website or directly through our office, you confirm that you have read, understood and accepted these Terms and Conditions.

Completion of any booking or registration form constitutes acceptance of this agreement.

These Terms and Conditions constitute the entire agreement between the client and Tarteel Travel and supersede any previous verbal or written communications unless explicitly stated otherwise.


3. Reservations and Deposit

For Umrah packages, a deposit of 50% of the total package price per passenger is required at the time of booking in order to secure your reservation.

This deposit allows Tarteel Travel to:

• reserve hotel accommodations
• reserve airline tickets where applicable
• begin visa processing

Reservations are not confirmed until the deposit payment is received and processed.

Tarteel Travel reserves the right to cancel or release any reservation if the deposit is not received within the specified timeframe.


4. Payment Methods

4.1 Clients Residing in the United States

Clients residing in the United States may pay using the following methods:

• bank check
• bank wire transfer
• cash payment
• credit card
• debit card

Payments made using credit or debit cards are subject to a 4% processing fee.

4.2 Clients Residing Outside the United States

Clients residing outside the United States may pay using the following methods:

• international bank wire transfer
• credit card
• debit card

Credit or debit card payments are subject to a 4% processing fee.

All bank transfer fees are the responsibility of the client.


5. Payment Terms

Full payment for Umrah packages must be received at least 30 days prior to departure unless otherwise specified.

Failure to complete payment by the required deadline may result in cancellation of the reservation.


6. Cancellation and Refund Policy

6.1 Cancellation Policy for All Umrah Packages

If cancellation is requested 30 days or more prior to departure, the following deductions apply:

• $350 cancellation fee per client charged by Tarteel Travel
• airline cancellation penalties if tickets have been issued
• if airfare is non-refundable the full airfare will be deducted
• $150 visa processing fee if visa has been issued
• $75 Haramain train ticket fee if train tickets have been issued

The remaining balance will be refunded after deductions.

If cancellation is requested less than 30 days prior to departure, no refund will be issued.

All cancellations must be submitted in writing via email.

6.2 Refund Processing Fees

If a refund is issued, any bank fees, merchant processing fees, chargeback fees, or payment gateway fees will be deducted from the refund amount. These costs are the responsibility of the client.


7. Package Pricing

All package prices include:

• 15% Saudi VAT
• 5% Municipality fees

Airfare may be included or excluded depending on how the package is advertised.

Any additional travel outside Saudi Arabia requested by the client will be the client’s responsibility.

Prices may change due to airline fare increases, tax changes, currency fluctuations, or supplier price changes prior to full payment.


8. Hotel Accommodation Policy

Clients may select:

• single occupancy
• double occupancy
• triple occupancy
• quad occupancy

Clients may also register as solo travelers requesting room matching.

Tarteel Travel actively attempts to match solo travelers with other travelers of similar age range and room category.

If a match cannot be found, the traveler may:

• upgrade the room category and pay the difference
• pay the full cost of the selected room

Hotel check-in time is 4:00 PM.

Many international flights arrive earlier in the day, sometimes around 12:00 PM or earlier. Travelers must wait until the official check-in time before accessing their rooms.

Hotel check-out time is 12:00 PM.

Any late check-out charges imposed by the hotel will be the responsibility of the traveler.


9. Airline Responsibility

Tarteel Travel acts as an agent for airlines and other travel providers.

Tarteel Travel is not responsible for:

• airline delays
• flight cancellations
• flight schedule changes
• lost luggage
• damaged luggage
• airline operational decisions

Airline penalties are the responsibility of the client.


10. Visa Processing

Tarteel Travel may assist with visa applications; however, visa approval is solely at the discretion of Saudi authorities.

Visa processing fees are non-refundable once submitted.

Tarteel Travel cannot guarantee visa approval.


11. Lost Luggage and Personal Property

Tarteel Travel is not responsible for lost, stolen or damaged luggage or personal belongings during the trip.

Clients are responsible for safeguarding their belongings at all times.


12. Travel Insurance

Clients are strongly encouraged to obtain travel insurance.

Tarteel Travel is not responsible for losses resulting from trip cancellations, medical emergencies, travel delays, or lost luggage.


13. Infant and Child Policy

Travelers 12 years and older are considered adults.

Travelers between 2 and 11 years old are considered children.

Infants are under 2 years old.

The infant charge is $500, including visa processing and airline infant taxes.

This rate applies only when two adults share the room with the infant.

If an infant travels with only one adult, the client must contact our team to determine the applicable pricing.


14. Booking on Behalf of Others

The person making the booking becomes the primary contact person and is responsible for:

• all payments
• communication with other travelers
• providing accurate information

Tarteel Travel is not responsible for errors in information submitted by the booking representative.


15. Client Conduct

Clients must behave respectfully during the trip.

Disruptive behavior may result in removal from services without refund.


16. Photography, Video Recording and Media Documentation

During Umrah and Hajj journeys, Tarteel Travel may document portions of the pilgrimage experience through photography and video recording for purposes including documentation of services provided, authentication of operations, internal records, educational material, and promotional content.

By booking or participating in any trip organized by Tarteel Travel, clients acknowledge and agree that photography and video recording may take place during various parts of the journey, including but not limited to group activities, seminars, transportation, and general travel moments.

Clients may appear in photographs or video recordings taken during the trip, and Tarteel Travel reserves the right to use such materials for legitimate business purposes including:

• documentation of services
• internal records and verification
• marketing and promotional materials
• website, social media, and informational content

Tarteel Travel strives to present all travelers respectfully and appropriately in accordance with the values of Islamic etiquette.

Clients who prefer not to have their face visible in photos or video recordings should take reasonable personal measures such as wearing a face covering or mask during times when filming or photography may occur.


17. Force Majeure

Tarteel Travel is not responsible for disruptions caused by events beyond our control including:

• war
• government restrictions
• pandemics
• natural disasters
• airline disruptions
• political instability


18. Passport and Travel Documents

Clients are responsible for ensuring their passports are valid for at least six months from the date of travel.

Clients must comply with all Saudi entry and health requirements.


19. Saudi Government Regulations and Umrah Policy Changes

Umrah travel is subject to regulations of the Kingdom of Saudi Arabia.

Authorities may change:

• visa rules
• entry requirements
• pilgrim quotas
• health regulations
• access to holy sites

without notice.

Tarteel Travel is not responsible for such government decisions.


20. Hajj Packages

Hajj packages are provided through authorized Hajj providers on the Nusuk platform.

Tarteel Travel does not control:

• package prices
• payment processing
• cancellations
• refunds
• visa issuance
• Hajj logistics

Tarteel Travel provides guidance and assistance only.

Tarteel Travel charges a Hajj guidance service fee of $750 USD per person for Hajj 2026.


21. Payment Disputes and Chargebacks

Clients agree not to initiate credit card chargebacks or disputes for services rendered.

If a chargeback occurs, the client will be responsible for:

• services already provided
• administrative costs
• bank processing fees
• legal or collection costs incurred by Tarteel Travel.


22. Limitation of Claims

Any claim or complaint must be submitted within 30 days after the completion of travel.

Failure to do so will result in the claim being considered waived.


23. Limitation of Liability

Tarteel Travel acts as an intermediary between clients and service providers.

Tarteel Travel shall not be liable for errors, delays, or service failures of third-party providers.


24. Governing Law

These Terms are governed by the laws of the Commonwealth of Pennsylvania, United States.

All disputes must be resolved within Pennsylvania courts.


25. Agreement

By booking a Hajj or Umrah package with Tarteel Travel, the client confirms that they have read, understood, and agreed to these Terms and Conditions.
